Health & Safety Policy — Gardening Shoreditch
Gardening Shoreditch is committed to providing a safe working environment for staff, contractors and clients while delivering professional gardening services in Shoreditch and surrounding areas. This policy describes the standards, responsibilities and procedures we follow to reduce risk, prevent injury and protect property. Our aim is to integrate safety into every project, from routine maintenance to larger landscape works. All team members and subcontractors must follow these procedures and any site-specific instructions issued by the appointed safety representative.

Scope and application
This policy applies to all activities carried out by Shoreditch gardening teams, including pruning, lawn care, hedge-cutting, tree works, hard landscaping and seasonal maintenance. It sets out the legal and best-practice expectations we adopt across our service area. Key responsibilities are broken down so everyone understands their role in keeping sites safe:
- Management — ensure planning, risk assessments, equipment provision and supervision.
- Supervisors — conduct site briefings, enforce controls and maintain documentation.
- Operatives — follow safe systems of work, wear required PPE and report hazards immediately.
Risk assessment and control measures
Before any work starts a written or documented risk assessment is carried out. Assessments identify hazards such as sharp tools, chemicals, uneven ground, overhead power lines and manual-handling tasks. Controls follow the hierarchy of risk reduction: elimination, substitution, engineering controls, safe systems of work, administrative controls and finally personal protective equipment (PPE). Where hazards remain, task-specific safe operating procedures are issued and reviewed regularly.

Equipment and PPE
All gardening equipment is maintained to a high standard with scheduled checks and records. Team members must use approved PPE appropriate to each task — safety boots, eye protection, gloves, hearing protection and high-visibility clothing where required. Chainsaws and powered tools are inspected before use and used only by trained, competent operatives. Lock-out and isolation procedures are used for machinery maintenance, and fuel storage complies with safe handling guidelines.

Training, competency and supervision
We invest in continuous training to ensure Shoreditch gardeners are competent for the tasks they undertake. Training covers safe use of tools, chemical handling, manual handling techniques, working at height, and first aid. Supervisors deliver site-specific briefings and monitor compliance. Records of qualifications and refresher training are kept up to date to demonstrate ongoing competence and to support safe staffing decisions for complex jobs.
Incident reporting, first aid and emergency response
All incidents, near misses and hazards are reported using our internal reporting system so that lessons are learned and controls improved. First aid kits are provided on-site and operatives know the location of the nearest qualified first aider. In an emergency, the priority is to preserve life, protect others and secure the site until professional emergency services arrive. Evacuation routes and assembly points are identified for each project site as part of the start-of-job briefing.

Environmental and waste management
Environmental protection is integral to our health and safety approach. Waste from gardening operations is segregated and disposed of responsibly. Hazardous materials such as pesticides, fuels and lubricants are stored securely and handled in accordance with safety data sheets. Spill kits are available for fuel or oil incidents, and measures are taken to protect drains, watercourses and neighbouring properties from contamination.
Maintenance, inspections and continuous improvement
Routine inspections of vehicles, trailers, tools and PPE are scheduled and recorded. Management reviews the effectiveness of this policy at regular intervals and after any significant incident. Audits and spot checks are used to ensure compliance and identify opportunities for improvement. Where changes in work methods or new equipment are introduced, a fresh risk assessment is completed and communicated to the team.
Policy review and responsibilities — This policy is reviewed at least annually or sooner when legislation or operational changes require it. Line managers retain overall responsibility for implementation while each operative has a personal duty to work safely and report concerns. By following these principles, our Shoreditch gardening teams maintain high standards of safety and professionalism across every job.
